Privacy Policy
A plain-language description of what the WhenWeave app and service actually do with your data. It is re-checked against the code before every release.
Who we are
WhenWeave is made by Motitory (MotitoryLabs), an independent developer based in Japan. Contact:motitory@gmail.com.
What WhenWeave is for
Finding time together. You keep your own calendar, choose per Space what other members may see, and the app finds common free time. Nothing is shared unless you choose it, event by event.
What we collect
Only what the features need.

We do not collect contacts, precise location, photos, files, advertising identifiers, or analytics about how you use the app. There are no ads and no trackers. Reminders you set are scheduled on your own device and never leave it.
What other people can see
Everything is private by default. Another person sees something only because of an explicit choice you made:
- Private (the default): no one else sees the Event, not even that it exists.
- Busy only for a Space: members of that Space see that you are busy at that time. They do not see the title, description, location, or anything else about it.
- Share details for a Space: members of that Space see the title, time, time zone and location. The description is never shared.
- Share my availability for a Space: your busy times, merged into blocks, are visible to that Space when they compare days or search for common free time. No titles, no counts, no repeat patterns, nothing that says what an Event is.
- A proposal is visible to exactly the two people involved. Accepting one puts one Event on both calendars; both people see its details because they agreed to it.
These rules are enforced by the server. The app never receives details it is not allowed to show. Space members can see each other's display names. Nobody can find out whether you belong to a Space they are not in.
Where your data is kept
- Database: PostgreSQL hosted by Neon in the AWS Singapore region (ap-southeast-1).
- Application servers: Cloudflare Workers, running close to you and to the database.
- On your device: your sign-in session, appearance preferences and reminder choices. Calendar data on the device is a cache of what the server allowed you to see.
We use these providers to run the service: Cloudflare (API hosting), Neon (database), Expo (app builds and updates). None of them receives your data for their own purposes.
How long we keep it
- Your account and calendar: until you delete your account.
- Sessions: until they expire or you sign out.
- Invitation codes: 7 days, or until used.
- Proposals: kept with the accounts of both people; a pending proposal expires after 7 days.
- Technical logs: up to 7 days.
- Backups: a short point-in-time restore window (currently six hours) after which deleted data is gone from backups too.
Deleting your account
In the app: Me → Delete account. You confirm with your password. Deleting removes your account, all your Events, your sharing and availability choices, your proposals and your memberships. Spaces you created are deleted for every member; Events you owned disappear from the other person's calendar. The screen tells you this before you confirm. Deletion is immediate in the live database.
Children
WhenWeave is not directed at children under 13, and we do not knowingly collect data from them.
Changes
When this policy changes, the date at the top is updated and the app shows the new version before you continue.
Your rights
Depending on where you live you may have rights to access, correct, export or delete your data, or to object to processing. Write to motitory@gmail.com; in-app deletion covers deletion without asking us.
